Archiving Policy

1. Purpose
Journal of Materials for the Built Environment (JMBE) is committed to preserving the scholarly record and maintaining long-term access to its published content.
As a Gold Open Access journal, JMBE aims to ensure that published articles remain identifiable, discoverable, and accessible even if the journal's publishing platform, website, or technical infrastructure changes in the future.
This policy describes the journal's approach to the long-term preservation and continuity of published content.
2. Scope of Archived Content
JMBE seeks to preserve, as appropriate:

published articles;
-
article metadata;
-
publication dates and version information;
-
abstracts;
-
references;
-
DOI and other persistent identifiers;
-
supplementary materials where technically and legally possible;
-
correction, retraction, and other post-publication notices; and
-
relevant journal-level bibliographic information.
The journal may also preserve appropriate historical versions of publication records where necessary to maintain the integrity of the scholarly record.
3. Persistent Identification
All published JMBE articles are assigned a Digital Object Identifier (DOI) through Crossref.
DOIs provide persistent identification of individual articles and support continued citation and discovery even if the article's web location changes.
Article metadata may also be registered or distributed through relevant scholarly and bibliographic services to support discoverability and continuity.
4. Digital Preservation
JMBE seeks to maintain multiple layers of digital preservation.
Published content may be preserved through a combination of:

the journal's publishing platform;
-
publisher-managed backups;
-
structured publication files;
-
metadata repositories;
-
digital preservation or archival services; and
-
other appropriate long-term preservation arrangements.
The specific preservation services used by the journal may evolve as the journal and its publishing infrastructure develop.
5. Long-Term Access
JMBE intends to maintain continuous access to published articles.
Where the journal's primary website or publishing platform is unavailable, the publisher may use appropriate preservation copies, mirrored content, repository records, or other recovery mechanisms to restore access.
Where practical, archived content will retain:

the original article DOI;
-
article metadata;
-
publication history;
-
licensing information; and
-
relevant correction or retraction notices.
6. Platform or Publisher Changes
Changes to the journal's publishing platform, technical provider, or other publishing infrastructure should not result in the loss of the published scholarly record.
Where the journal moves to a new platform or technical provider, reasonable measures will be taken to preserve:

article files;
-
article metadata;
-
DOI links;
-
publication history;
-
licensing information; and
-
relevant supplementary materials.
Where a change in publisher or publishing infrastructure occurs, the journal will seek to maintain continuity of the existing scholarly record.
7. Article Versions
The published Version of Record constitutes the official published article.
Where an article is corrected, updated, or otherwise subject to post-publication action, the journal will maintain an appropriate record of the change.
The journal may preserve relevant earlier versions or publication records where necessary for transparency and scholarly integrity.
Authors may continue to share the published article in accordance with the applicable open access license.
8. Corrections, Retractions, and Expressions of Concern
Post-publication notices form part of the permanent scholarly record.
Where necessary, JMBE may publish:

corrections;
-
amendments;
-
Expressions of Concern;
-
retractions; or
-
other editorial notices.
Such notices will be linked to the affected article and preserved as part of the publication record where practicable.
Retracted articles will not ordinarily be deleted solely because they have been retracted. The original record may remain accessible with a clear indication of its retracted status, unless removal is legally required or necessary to protect individuals from serious harm.
9. Metadata Preservation
The journal seeks to preserve accurate and persistent metadata for each published article.
This may include:

article title;

author names;
-
affiliations;
-
abstract;
-
keywords;
-
article type;
-
publication date;
-
volume and issue information where applicable;
-
DOI;
-
ISSN;
-
licensing information;
-
references; and
-
correction or retraction information.
Metadata may be deposited with Crossref and other appropriate scholarly infrastructure and indexing services.
10. Structured Publication Files
Where feasible, JMBE maintains structured publication files in formats suitable for long-term preservation, indexing, and migration between publishing systems.
These may include:

XML;

PDF;
-
HTML;
-
image files;
-
supplementary files; and
-
other publication formats appropriate to the article.
The formats used may change over time as publishing technologies and preservation standards develop.
11. Supplementary Materials
JMBE seeks to preserve supplementary materials associated with published articles where technically, legally, and ethically possible.
Such materials may include:

datasets;
-
code;
-
additional figures and tables;
-
videos;
-
architectural drawings;
-
technical documentation; and
-
other supporting files.
Where supplementary materials are hosted through external repositories, the journal may retain the relevant persistent links or identifiers rather than duplicating the underlying files.
Authors remain responsible for ensuring that externally deposited materials remain available where this is part of their stated Data Availability commitment.
12. Research Data and External Repositories
Research datasets associated with JMBE articles may be archived through recognized external repositories.
Where a dataset has its own persistent identifier, such as a DOI, JMBE may link the published article to the relevant dataset.
The preservation of research data may therefore occur separately from preservation of the article itself.
Data-sharing and data-preservation arrangements remain subject to:

privacy requirements;
-
ethical restrictions;
-
licensing terms;
-
intellectual-property rights;
-
contractual obligations; and
-
applicable law.
13. Backup and Recovery
The publisher may maintain appropriate backup procedures for journal content and associated publishing records.
Backup arrangements may include:

multiple copies of publication files;
-
geographically or technically separate storage;
-
routine system backups; and
-
recovery procedures for technical incidents.
Backup systems are intended to support operational continuity and do not replace formal long-term digital preservation arrangements.
14. Preservation of Journal-Level Information
In addition to individual articles, JMBE seeks to preserve important journal-level information, including where appropriate:

journal title;
-
ISSN;
-
publisher information;
-
editorial history;
-
publication frequency;
-
open access and licensing information;
-
publication policies;
-
archival policy information; and
-
historical publication records.
Where journal policies are updated, earlier versions may be retained by the publisher where appropriate for institutional or historical reference.
15. Accessibility and Discoverability
Long-term preservation is intended to support not only storage but continued identification and discoverability of the scholarly record.
JMBE supports persistent discovery through:

Crossref DOI registration;
-
structured metadata;
-
article indexing where available;
-
stable article URLs where practicable; and
-
appropriate repository and archival arrangements.
Preservation arrangements may be expanded as the journal develops.
16. Continuity in the Event of Journal Disruption
If publication of JMBE is interrupted for any reason, the publisher will seek to preserve access to previously published articles and associated metadata.
A temporary suspension, platform failure, ownership change, or other operational disruption should not in itself invalidate previously assigned DOIs or erase previously published content.
Where publication resumes under a revised technical or organizational structure, reasonable efforts will be made to maintain continuity of:

article identifiers;

metadata;
-
publication history;
-
licensing;
-
correction and retraction records; and
-
access to previously published content.
17. Cessation of Publication
If JMBE ceases publication, the publisher intends to preserve the published scholarly record for future access.
Previously published articles should remain accessible where reasonably practicable, even if no new articles are published.
The journal may maintain the existing website, transfer archived content to an appropriate repository or preservation service, or use another suitable mechanism to support continued access.
The cessation of publication does not by itself terminate the copyright or applicable licensing rights associated with previously published articles.
18. Publisher Responsibility
Sunlit Grove Publishing is responsible for maintaining appropriate arrangements for the preservation and continuity of the journal's published content.
The publisher may work with:

hosting providers;
-
publishing-platform providers;
-
digital preservation services;
-
scholarly infrastructure organizations;
-
repositories; and
-
other technical partners
to support long-term preservation.
The specific preservation architecture may change as the journal grows and as new preservation standards or services become available.
19. Author Responsibility
Authors are encouraged to maintain appropriate copies of their published articles and underlying research data.
Authors should retain relevant:

datasets;
-
code;
-
research records;
-
supplementary files; and
-
permissions documentation
in accordance with applicable institutional, funder, ethical, and legal requirements.
Authors should also ensure that externally deposited research data remain appropriately described and identified.
20. Digital Preservation Standards
JMBE aims to align its preservation practices with recognized principles of digital preservation and scholarly publishing.
As the journal develops, preservation arrangements may be strengthened through additional archival services or preservation programs.
The journal may update this policy as formal preservation partnerships are established.
